FOURTH MONTH

WEEK 15 (22 Jan 2023 - 26 Jan 2023)

  • After two days off due to the Chinese New Year public holiday, I was assigned to record payment vouchers received from cash in hand for Pertubuhan Penyayang Jerlun (Jerlun Care) from 2020 to 2022.

  • In order to do this, I must generate new payment vouchers in the cash book by debiting the expenditure account and crediting the cash in hand account. This is an example payment voucher that I have recorded, as shown in Figure 90.

Figure 90

  • The next day, after I finished recording all the payment vouchers received from cash in hand of Pertubuhan Penyayang Jerlun (Jerlun Care), I need to print the all payment vouchers and receipt vouchers from 2020 to 2022. In addition, I also need to print the balance sheet statement, profit and loss statement and cash flow statement.

Figure 91

  • Following that, I must file payment vouchers and receipt vouchers by date into the file.

Figure 92

  • Next, I need to create a cover page for Pertubuhan Penyayang Jerlun (Jerlun Care)'s financial statements for 2020, 2021, and 2022. The cover page must then be printed on the blue paper.

Figure 93

  • After that, I compile the required financial statement paperwork in sequence such as the profit and loss statement, balance sheet statement, cash flow statement, and bank statement transactions, for the years 2020, 2021, and 2022. The three sets of these financial statements must then be binding.

Figure 94

  • Then, the first page of the profit and loss statement, balance sheet, and cash flow statement must all be stamped, as shown in Figure 95, before my supervisor, Mrs. Jannah, would sign the documents as a certified true copy.

Figure 95

  • On January 26, 2023, I need to create a cover page for Mautapau Sdn Bhd's management accounts for 2022. After that, the cover page must be printed on blue paper. In addition, I need to print the profit and loss statement, balance sheet statement, trial balance, creditors aging, debtors aging, and bank statements. Then, I must compile and bind all of the documents before submitting them to the client.

  • Overall, in the fifteenth week, I was able to prepare the whole management accounts for Mautapau Sdn Bhd for the fiscal year ending 2022. For Pertubuhan Penyayang Jerlun (Jerlun Care), I was also in charge of preparing three sets of financial statements for the fiscal years 2020, 2021, and 2022 as well as payment and receipt vouchers. As a result, when I finish preparing the work my supervisor gave me, I am quite pleased and satisfied since I was able to complete it before the deadline.

WEEK 16 (29 Jan 2023 - 2 Feb 2023)

  • In the sixteenth week, January 29, 2023, a new trainee named Putri joined AMR Utara Sdn Bhd. As a result, as an experienced trainee, it is my responsibility to educate and train a new trainee on how to record transactions into the Autocount system, as well as share some of the knowledge I gained with her.

  • To record the client's quotation is the first task I assign Putri. I explained to her how to enter the quotation into the Autocount system step by step. First, create a new quotation and fill in the client information as shown in Figure 97.

Figure 97

  • After that, choose product code 1 for accounting fees and product code 2 for taxation fees. Then, enter the product description and the total amount based on the client's total sales. Since PMC Enterprise's total sales are between RM0 to RM100,000, the total amount of accounting fees is RM600, while the total amount of taxes fees is RM400.

Figure 98

  • This is an example of a complete quotation to a client, as seen in Figure 99. Additionally, AMR Utara Sdn Bhd provides clients with free access to recorded training in the private Facebook group AMR Business Community as well as free access to online classes provided by AMR.

Figure 99

  • Aside from that, I was requested to draft a letter of courtesy visit to SME Corp Malaysia office (Kedah). The purpose of this courtesy letter is to establish a collaborative relationship with SME Corp. Malaysia (Kedah), as well as to acquire detailed information on the development of entrepreneurs in the state of Kedah.

Figure 100

  • On January 31, 2023, I must review several documents received from clients, such as invoices, receipts, and vouchers, before starting to record all of the documents into the Autocount system. Figure 101 illustrates that these files are from Gerun Niaga and its subsidiary projects, Global Era Enterprise, KBK Teguh Enterprise, and Berembang Enterprise.

Figure 101

  • The next day, I had the responsibility of teaching Putri how to prepare a bank reconciliation for January 2023 and enter bank statement transactions in a cash books.

  • First, I explained to Putri how to record bank statement transactions and determine if they were incoming or outgoing. If outgoing transactions must be on the withdrawal side, meaning the bank withdrew the money, incoming transactions must be on the deposits side, indicating the bank received money.

  • So, in order to record incoming transactions, we must record the transactions into receipt vouchers by debiting the bank account and credit the client account or income account. Meanwhile, we must record outgoing transactions into payment vouchers by debiting the payable account from which we pay the invoice or expenditure and crediting the bank account. Then I taught Putri on how to record bank reconciliation.

  • Apart from that, my supervisor, Mrs. Jannah, instructed me to record bank statement transactions and bank reconciliation for Gerun Niaga and Gerua Niaga from September to December 2022. As usual, before I started recording, I had to print the bank statements that Mrs. Jannah attached in the group WhatsApp.

Figure 102

  • After that, while I was in charge of recording Gerun Niaga's bank statement transactions and bank reconciliation, I delegated to Putri the responsibility of recording Gerua Niaga's bank statement transactions and bank reconciliation. If Putri does not understand any transactions, I will teach her later. This process takes some time because this company has four months of transactions that must be recorded.

WEEK 17 (5 Feb 2023 - 9 Feb 2023)

  • In the seventeenth week, I received a day off on February 5, 2023, since the State of Kedah observed Thaipusam as a special holiday.

  • The next day, I continued to record bank statement transactions and bank reconciliation of Gerun Niaga that were not finished the previous week.

  • At 12:00 noon, I have an online visit meeting with my UUM's supervisor, Mr Khairul Anuar Bin Desa, through webex. During an online visit, we discussed my duties and experiences during my internship at AMR Utara Sdn Bhd.

  • After that, Mr Khairul asked to speak with my supervisor, Mrs Jannah. They discuss a variety of aspects of my performance, including my knowledge, communication skills, critical thinking and problem solving skills, understanding of IT, attitude at the workplace, and more.

  • At the end of the online visit, I had the opportunity to ask Mr Khairul how to write a report concerning banking aspects in the organization and how it can be related to the accounting job scope. In fact, what Mr Khairul shared with me regarding his understanding and opinions, which I think can help me a little bit in completing the practical report assignment. (Thank you, Sir 😊)

Figure 103

  • On February 7, 2023, I need to sort and categorize all of the documents for Mautapau Sdn Bhd's January transaction, including bills, receipts, and invoices, based on the branch and date.

Figure 104

  • Together, Putri and I categorized and sorted the documents of Mautapau Sdn Bhd before filing them into the appropriate file for each branch. In addition, I showed Putri how to organize the invoices and receipts by kind, date, and in which branch the transaction was made.

Figure 105

  • The receipts must then be glued to the recycle paper and filed into each branch's file, as shown in Figure 106.

Figure 106

  • Following that, I must record cash purchases for Changlun and Jitra's branches, while I delegated to Putri the responsibility of recording cash purchases for Arau's branch.

Figure 107

  • In addition, I have to teach Putri how to record salaries and sales. To record salaries, we need to create a new journal entry and record as accrual salaries by debiting the salaries expense account and crediting the accrual salaries account. To determine the total amount of salary for each branch, we must access the excel file of each branch's monthly payroll report that was received from the client. Then, we also need record accrual accounts for the Employees' Provident Fund (EPF), the Social Security Organization (SOCSO), and the Employment Insurance System (EIS).

  • Apart from that, to record sales, we also need to review the excel file of the sales report that was received from the client by debiting the cash in hand account and crediting the sales account and then record the amount of cash sales based on the total sales in the sales report.

  • The next day, I have to record bank statement transactions and bank reconciliation for Mautapau Sdn Bhd for the month of January 2023. For Mautapau Sdn Bhd, there are two bank accounts. I record one of them, while Putri records the other.

WEEK 18 (12 Feb 2023 - 16 Feb 2023)

  • In the eighteenth week, which is my last week of internship, I record unrecorded bank statement transactions and bank reconciliation for Gerua Niaga for the months of April, May, and June. While I ask Putri to check and record the bank statement transactions and bank reconciliation for the months of July and August. If there are any transactions that have not yet been recorded, I ask her to do so. As a result, the bank reconciliation balance will be balanced.

  • Since the balance of the bank reconciliation is not balanced, as shown in Figure 108, we must examine the bank reconciliation one by one each month.

Figure 108

  • Apart from that, I was required to record an accrual account for Mautapau Sdn Bhd's director allowance and secretary fee for January 2023. To record an accrual account for director allowance, I must create a new journal entry by debiting the director account (Mautapau Sdn Bhd has three directors) and crediting the accrual director allowance account, as shown in Figure 109.

Figure 109

  • In addition, the accrual secretary fee is recorded by debiting the secretary fee expense account and crediting the accrual secretary fee account. Also, I must record AMR Utara Sdn Bhd's sales invoice, which will be sent to the client, Mautapau Sdn Bhd. The sales invoice informs the client about the products or services purchased as well as the total amount owed.

  • To record a sales invoice, I must first create a new sales invoice, choose the client's name, write the description, which is the accounting fee for the month ending 31 January 2023, and then enter the total amount, as shown in Figure 110.

Figure 110

  • Furthermore, my supervisor, Puan Jannah, asked me to calculate the total cash sales for Mautapau Sdn Bhd in January 2023. As seen in Figure 111, I used Microsoft Excel to calculate this. This allows us to determine the amount of cash sales recorded by the client each day and for the whole month. We will also be able to determine whether the amount of cash sales that the client records and the amount of cash sales that they transfer to their bank account are the same.

Figure 111

  • The next day, I had attend to a meeting with Unit Pembangunan Usahawan Kedah (UPUK) at UTC Kedah (Urban Transformation Centre) with my supervisor, Mrs. Jannah. This meeting is intended to forge a collaborative relationship with UPUK as well as acquire detailed information on the development of entrepreneurs in the state of Kedah.

Figure 112

  • On February 14, 2023, I have to record the purchase invoice for Mautapau Sdn Bhd. As usual, to record a purchase invoice, I must first create a new purchase invoice, choose the supplier's name, enter the purchase invoice description, and then enter the total amount of the purchase invoice. After that, I must punch the purchase invoice before entering it into the creditors' file.

Figure 113

  • Aside from that, I also need to enter the purchase invoices for Gerun Niaga and its subsidiaries, Global Era Enterprise, KBK Teguh Enterprise, and Berembang Enterprise, into the Autocount system.

Figure 114

  • On February 16, 2023, I was required to check and review Putri's work and make any adjustments if there were any errors or inaccuracies. Other than that, I need to create a cover page and table of contents for Mautapau Sdn Bhd's management account for January 2023. The cover page must then be printed on blue paper. I also need to print the profit and loss statement, balance sheet statement, trial balance, and variance statement. The documents must then be compiled and bound before being submitted to the client.

Figure 115

  • In a nutshell, I learned a lot about accounting during my four months of internship at AMR Utara Sdn Bhd, including how to record bank statement transactions, bank reconciliations, record sales and purchase transactions in journals, prepare financial statement reports, communicate with clients, and much more. By the end of my internship, I was able to strengthen my soft skills, communication skills, and self-confidence.

  • Last but not least, I would like to take this opportunity to express my gratitude and appreciation to all the staff of AMR Business Consultant Sdn Bhd, especially to Mrs Jannah as the director of AMR Utara Sdn Bhd and my supervisor, who is willing to accept me as a practical student here and who has given me a lot of advice, guidance and understanding about accounting. In addition, I would like to express my gratitude to the other interns who have guided and assisted me throughout my internship at AMR Utara Sdn Bhd.
